Job posting – Project Archivist at HAM-TMC Library (FILLED)

The Houston Academy of Medicine – Texas Medical Center Library is seeking a project archivist to arrange, process and make accessible to the public a manuscript collection. This project is funded by the generous donation of the patron who donated the collection. The project archivist will be responsible for processing and describing a collection related to the life of a medical doctor, researcher, and teacher. The position will report to the archivist heading the TMC Library’s John P. McGovern Historical Collections and Research Center. This project is estimated to require approximately 300 hours for completion.

Qualifications:

Required:

  • Master of Library Science or equivalent degree from an accredited institution
  • Demonstrated experience with archival principles and practices based on the standards of the Society of American Archivists. 

Preferred:

  • At least 6 months of archival experience
  • Certification from the Academy of Certified Archivists
  • Experience with EAD
  • Knowledge of DACS

Duties:

  • Use best archives practices at work
  • Organize, arrange and describe the collection according to generally accepted professional standards
  • Create printed and online finding guides for the processed collection
  • Prepare a physical and digital exhibit; provide information or materials from the collection for special events tied to the collection

General Responsibilities:

  • Provide assistance and support to librarians and staff when needed
  • Collaborate with others to create an atmosphere of enthusiasm and commitment
  • Establish and maintains an environment that encourages teamwork, interdependence, and customer service
  • Demonstrate a working knowledge of basic office software as well as specialized digital skills, including working with XML-based EAD, scanning software, and Photoshop, Photoshop Elements, or equivalent software
  • Completes all activities towards the fulfillment of the Library mission and strategic objectives

The Special Collections department at the University of Houston Library is seeking a full-time staff member (Program Coordinator 2).

Job Duties:

1. Coordinates program to ensure that implementation and prescribed activities are carried out in accordance with specified objectives.
2. Participates in planning and develops methods for program implementation and administration; coordinates program activities and processes.
3. Reviews program records and reports of activities. Recommends modifications to methods or procedures as required.
4. Prepares recurring and ad hoc program reports for management use.
5. Assists in preparing reports, proposals, manuals, and other documentation as required for the program.
6. Participates in budget planning and is responsible for controlling expenditures in accordance with budget allocations for the program.
7. Conducts formal training or gives instruction regarding program policies and procedures.

Job posting: Part-time Archivist at HAM-TMC Library (FILLED)

The Texas Medical Center Library seeks a part-time archivist. This individual will be responsible for processing and maintaining archival manuscript collections and provide reference support and service to Library clients and assist other functions within the Library.

Duties:

  • Use best archives practice at work
  • Initiate contacts with members of the Houston community to obtain collections or individual items of historical significance
  • Review condition of new archival materials and performs the initial survey of collections prior to cleaning and re-housing
  • Organize, arrange and describe collections according to generally accepted professional standards
  • Create printed and online finding guides for processed collections
  • Maintain collections according to their provenance and maintain the inventories of the collections
  • Provide guidance to the Archive Assistant, clerical assistants, and volunteers
  • Perform searches for manuscripts, serials, and other historical information
  • Prepare exhibits and provides information/materials from the collections for special events
  • Communicate with individuals and organizations to publicize the Library’s historical resources
  • Seek funding for special events, historical collections, and the support of the McGovern Historical Collections and Research Center
  • Answer reference questions and assists clients with their research
  • Collaborate with members of other departments to ensure client needs are met
  • Assist the archivist to manage all aspects of the HRC physical facility assuring the physical environment is secure and clean

Archival responsibilities:

  • Capable of maintaining, managing and supervising the HRC when the Archivist is absent
  • Understands and has experience with the seven domains of archiving and implements those domains while working at the archives:

1. selection, appraisal, and acquisition;
2. arrangement and description;
3. reference services and access;
4. preservation and protection;
5. outreach, advocacy, and promotion;
6. managing archival programs;
7. professional, ethical, and legal responsibilities.

  • Understands the general principles about handling and working with rare books and ephemera
  • Has knowledge of cataloging systems, such as Library of Congress and the National Library of Medicine
  • Maintains collections inventory
  • Gathers information and materials from archives for special events and exhibits; creates displays
  • Contributes to a blog about the McGovern Historical Research Center by writing and through research
  • Continues to improve archival skills through professional-related classes, workshops and conferences
  • Participates where possible in professional archival organizations, such Archivists of the Houston Area, Society of Southwest Archivists, and Society of American Archivists or archival-related organizations
  • Conducts reference interviews to help patrons
  • Assists patrons who visit on-site or contact the McGovern Center by phone or email
  • Assists with copying and scanning to fulfill patron requests or to help the archivist.
  • Has a working knowledge of basic office software as well as specialized digital skills, including working with XML-based EAD, scanning software, and Photoshop, Photoshop Elements, or equivalent software

Qualifications (Knowledge, Skills, Abilities):

  • Demonstrated proficiency with Microsoft Office suite.
  • Familiarity with the standards, Describing Archives: A Content Standard (DACS) and Encoded Archival Description (EAD).
  • Familiarity or proficiency with archive management systems, such as Archon, Archivist Toolkit or the new ArchivesSpace is a plus.
  • Awareness of best archival practices is essential, including knowledge of digital archival practices, such as preservation, metadata and digitization.
  • Demonstrated written and verbal communication skills. The applicant should have the ability to work with minimal supervision, supervise staff and volunteers, work closely with patrons and donors, and achieve mutually agreed upon goals.

Education and Experience:

Master’s Degree in Library Science from an ALA-Accredited program with some classes in archival science or an archival track; or an equivalent master’s degree in archival studies or related field. Some experience in an archival setting required.
Favorable consideration will be given to candidates with an Archivist Certification through the Academy of Certified Archivists.

Job Summary:

The curator leads and coordinates the historical manuscripts and university archives program and reports to the Dean of University Libraries.

Duties and Responsibilities:

The Curator of Historical Manuscripts and Archives is expected to lead and manage all aspects of the historical manuscripts and university archives program including communicating with potential donors to acquire new materials, arranging and describing collections, assisting researchers, managing preservation, establishing policies and plans for the unit, supervising the Assistant Curator of Archives and Manuscripts, collaborating on digital projects, coordinating exhibits and events, overseeing the retention of university records, and managing and directing a current NHPRC grant-funded project.

Qualifications Required:

• Master’s degree in archival or library science from an ALA-accredited program or masters/doctoral degree in a closely related field
• At least a minimum of three years as a professional archivist in an academic or research library
• Demonstrated Supervisory experience
• Demonstrated experience working with donors
• Demonstrated knowledge of archival principles and descriptive standards
• Knowledge of preservation and conservation treatments for archival materials
• Knowledge of copyright and intellectual property principles
Preferred
• Additional advanced degree in history, English, museum studies, or related field
• Demonstrated experience with a records management program
• Archival certificate from the Academy of Certified Archivists

Appointment Rank and Salary:

Rank: This is a tenure track faculty position to be hired at the assistant or associate level depending on qualifications and experience. Professional activity and service are expected.
Salary: Preferred hiring range is $40,000 to $60,000, depending on qualifications and experience.

AHA meeting at the University of Houston, July 12

Join us at 6 pm on Thursday at the University of Houston Library, Special Collections.
Special Collections is located on the 2nd floor at the top of the main circular staircase, through the glass door.

The speaker will be Carol A. Skewes, Publisher and Editor of The Vindicator and The Anahuac Progress. She will speak on “How to Get the Word Out: Press in the Digital Age.”

Carol has a BS and MBA from the University of Houston. Since 1989 she has worked for The Baytown Sun, Gibson Printing Company, and Granite Publishing Partners, Inc. She serves as the Publisher of The Vindicator and The Anahuac Progress and has been a graphic designer for over twenty years. She will focus on proper AP style, working with editors, writing within a digital perspective, how to take advantage of free press relations, and how to submit digital photos and electronic copy.

If coming from the north/downtown, take I-45 South. Take exit 44-B. Merge toward Spur 5 South. Turn right onto University Drive. Turn left on Calhoun and you will immediately see the Welcome Center & Parking Garage, a yellow brick building with red trim.

If coming from the south, take I-45 North. Take exit 44-A (Elgin/Lockwood/Cullen). Turn left on Cullen. Drive along Cullen, passing the stadium, and turn left on Wheeler. Turn left again on Calhoun. To your left just past the parking lot you will see the Welcome Center & Parking Garage, a yellow brick building with red trim.

Parking rates are hourly. Please remember to take your ticket with you.

Once you’ve parked, walk in towards the center of campus. You will pass the Hilton Hotel on your left and the University Center (student center) on your right.
